An exciting opportunity has arisen for an experienced and highly organised Accounts/Office & IT professional to join our growing team located in the vibrant Southbank/Bankside.

Sauce is a boutique creative agency that specialises in recruiting Financial, Marketing and Support Staff into the Media, Entertainment and Creative sectors and is proud to represent some globally renowned brands as well as fast growing SME businesses.

This position plays an integral part within the business, providing Accounts, IT and Operational administrative support to the Directors and team of Consultants.

Responsibilities will include:

Administration / Office Support

  • Dealing with telephone enquiries from Candidates and Clients in a professional and timely manner, providing updates and feedback when required
  • Maintaining the office and liaising with building management
  • Order stationary/office supplies
  • Assist with organising company socials and events
  • Suggest and implement improvements to help develop the administration function

IT Support

  • First point of contact for all IT & communications, ensuring smooth running of IT/Operations by supporting end users with all desktop issues
  • Manage IT & Communication supplier relationships to resolve issues, promote efficiencies and ensure cost effectiveness
  • Liaise with recruitment CRM contacts/helpdesk to resolve issues whilst streamlining processes
  • Dealing with PC and software upgrades, routine maintenance and security checks
  • Responsible for sever maintenance, upgrades, cleansing and trouble shooting
  • Suggest and implement improvements to help develop the administration function

Accounts / Contractor Management

  • Prepare contractor employment contracts and sending via Docusign/Hellosign – ensuring contracts are signed and e-filed correctly
  • Liaise with outsourced Payroll supplier to make sure monthly and weekly payroll is completed on time.
  • Supporting & resolving payroll and contracting issues in conjunction with consultants
  • Accounts payable – Collating and checking invoices are correct and arranging payment
  • Accounts Receivable – Collating information and timesheets for invoices, raising and issue invoices to clients and factoring company and chasing late payments
  • Assist with resolving invoice queries from clients
  • Keeping Sage/Xero up to date with all transactions
  • Assist with any accounts issues as instructed by Directors

Sales Support

  • Update the CV database with new and existing Candidate / Client details
  • Upload candidate registration documents, CV’s, passports, VISA’s and maintain GDPR requirements etc
  • Oversee the outsourced CV formatting supplier relationship, ensuring continued quality CV’s are delivered in a timely basis candidates CV’s before consultants send them to clients
  • Liaise with our social media guru, giving support, suppling info to making sure all feeds are up to date
  • Creating/Assisting with electronic mailouts to candidates and clients together with consultants
  • Leads generation – responsible for finding leads via mine sweep and other sources, collating and passing lead details to consultants.
  • Resourcing CVs from online databases when required and some CV formatting if required


Essential Skills

  • General office administration experience, ideally gained within an SME
  • Good IT Technician skillset, ideally with SME 1st line Support experience able to trouble shoot issues when they arise in a timely manner
  • Sales Support experience – ideally gained from the recruitment industry
  • Accounts/Bookkeeping experience – AP, AR, Invoicing -ideally with experience of Sage and or Xero
  • Excellent communication (written/verbal) and interpersonal skills
  • Good problem solver and previous IT support experience within a small organisation desirable, possessing good fault-finding abilities
  • Self-motivated, highly organised, great attention to detail
  • Team player, willing to help others and swift at resolving issues.
  • Someone with ideas, looking for improvement and able to present solutions to problems
  • Positive, can do personality
  • Ideal IT/systems knowledge: Windows 10 O/S · Apple O/S · Microsoft Office 365 · Microsoft Teams · Cloud PBX · Full Adobe Creative Suite would be ideal
  • Recruitment industry experience would be a massive bonus
